BuilderXPro Pricing Explained — What Each Plan Actually Includes

Most software pricing pages tell you what each plan costs but not how to choose. This one explains the model behind BuilderXPro pricing — what actually separates the tiers, when buying an add-on beats upgrading, and how the GST and annual-billing maths works out.

The pricing model in one paragraph

You buy capacity, not features. Every plan contains the whole platform — projects, procurement, work orders, accounting, HR, the mobile app. What changes between tiers is how many people can log in, how many projects can be active at once, and how much storage you get.

This is deliberate, and it is the opposite of how most SaaS is sold. The usual model puts the feature you need one tier above the one you can afford. Here, a one-person contractor gets the same procurement workflow a thirty-person company gets — just sized for one person.

What actually separates the tiers

Three things, in order of how often they force a decision:

  1. Active projects. Usually the binding constraint, not users. Note that archived projects are free and stay readable permanently, so finished work does not count against you.
  2. Users. Everyone who logs in, including site supervisors.
  3. Storage. Rarely binding early, then suddenly binding once site photos accumulate — GRN and DPR photographs are the usual cause.

The capability that genuinely moves between tiers is CRM, and it moves in three steps: CRM Lite on Solo, CRM Pro on Team, and CRM Full included from Business. Full is not sold as an add-on on any plan. Accounting splits in two: GST and TDS returns are on every tier including Solo, while the chart of accounts and bank reconciliation start at Business.

How to pick without overbuying

Count two things about your business as it is today, not as you hope it will be next year:

  • How many projects will be simultaneously active? Not how many you will do this year — how many are open at once.
  • How many people will actually log in? Site supervisors count. Your CA usually does not.

Then take the smallest plan that fits. Upgrading mid-cycle is immediate and pro-rated, so under-buying costs you nothing but a click, while over-buying costs you every month until you notice.

The common mistake is buying for the org chart rather than for logins. A ten-person company where four people touch the system is a four-user company for pricing purposes.

When an add-on beats an upgrade

You can buy extra seats, extra project blocks, extra storage, the CRM module and BuilderX Lite or Studio CAD seats without changing plan. That is usually cheaper — until it is not.

The rule of thumb: add-ons win for a small overage, the next tier wins for a persistent one. If you are two seats over, buy the seats. If you are consistently ten over, the next tier will cost less per seat and give you more projects and storage at the same time.

Project blocks are sold in twenties rather than singly, which works out substantially cheaper per project than the headline suggests — worth checking the per-unit maths on the pricing page before assuming a block is expensive.

GST, annual billing and the real number

Two adjustments turn a list price into what actually leaves your account:

  • Add 18% GST. Every published price is exclusive. A GST invoice is issued for each payment, and adding your GSTIN in billing settings lets you claim input credit — so the effective cost to a registered business is lower than the gross.
  • Subtract the annual discount. Paying yearly is meaningfully cheaper than monthly across every tier. If cash flow allows, this is the single largest saving available on the platform, and it needs no negotiation.
